Before you buy AI, get your sales out of the exercise book

Stage 0 of the ladder, stated plainly. AI does nothing for a business whose numbers only exist on paper and in your head. This is the step that comes before the step.

This is the article where we tell some of you not to spend any money.

If your sales are written in an exercise book, your stock is counted by eye, and your customer list is your memory and your phone contacts, then the best thing you can do about AI this month is nothing about AI. There is an earlier, cheaper, more valuable move - and skipping it is the single most common way businesses waste money on AI.

Why AI has nothing to work with#

Think about what AI actually does. It reads, writes, searches, summarises, and finds patterns - all over information. Take away the information and there is nothing for it to do.

A business at stage 0 keeps its real record in two places a computer cannot reach: paper and the owner's memory. You can ask the smartest AI on earth "which of my customers has not bought in two months?" and it will have no answer, because that fact was never written down anywhere it can read.

Buying AI for a business that is not written down is like hiring the best accountant in the country and handing them an empty drawer.

The honest first move: capture the basics#

You do not need an expensive system. You need to start recording three things digitally, however simply:

  • Sales - what sold, when, and for how much.
  • Stock - what you have, and what is running low.
  • Customers - who they are and how to reach them.

"Digitally" can be modest at first. A well-organised spreadsheet on a phone. A simple point-of-sale app. A basic bookkeeping tool. What matters is not the tool

  • it is that the information now lives somewhere it can be searched, counted, and added up on its own.

This step pays for itself before any AI#

Here is the part that makes it easy. Getting your sales out of the exercise book is not a cost you carry until AI arrives to justify it. It pays you back immediately, on its own:

  • You can see which products actually make you money, instead of guessing.
  • You stop running out of your best-sellers, and stop over-buying the slow ones.
  • You know who owes you, and you can chase it before it becomes a bad debt.
  • You can hand the counter to someone else without losing the thread.

Every one of those is worth doing even if you never touch AI. That is why this is the safest step on the entire ladder - the return does not depend on anything above it.

How you know you have cleared stage 0#

You are ready to climb when the day-to-day of the business - what sold, what is in stock, who your customers are - is being recorded digitally somewhere, however simply. Not perfectly. Not completely. Just there, in a form a computer can read.

What to do this week#

Pick your most painful record - sales or stock - and move it into any simple digital system you will actually keep using. That is the entire assignment. When it becomes a habit, you have cleared stage 0, and the rest of this series - starting with using AI as a fast assistant - is written for you.
